When someone mentions a database it often conjures up an image of an expensive, customised software program with all the bells and whistles. While these programs are terrific if you have them, they can be really expensive to purchase and implement. If you have an

     

STOP THE LEAKS - USE YOUR CASHFLOW TO GET AHEAD

Do you know the feeling that, try as you may, you just can’t get ahead financially? Do you often wonder what has happened to all your hard-earned cash come the end of the month? Do you have a lot of month left over after the cash instead of the other way around?

If you do, you’re not alone. But take heart, there is something you can do to change this and it is easier than you think. Put in simple terms, what you need to aim for is to have cash flow that is supported by an appropriate financial structure which is designed to capture that cash flow which is currently leaking away and to put this saved cash flow to better use.

Changing The Start Directory of Word

When you want to open a document in Word, it normally looks in the My Documents folder for files. Here is a very easy way to reconfigure Word to start in a different folder of your choosing.

(1) From the menu bar select 'Tools' then choose 'Options'. Word displays the Options dialog box.

(2) Click on the tab 'File Locations'
.

(3) Under the heading 'File types:' make sure the Documents option is highlighted, then click on the Modify button. Word displays a dialog box in which you can browse and select directories.

Most people don’t realise that even Excel can provide you with many functions that make for a user friendly, flexible database, which anybody can enter data into and manipulate.

Data From Unlikely Places

If you are thinking about having a database created, you probably already have the pile of paperwork waiting to be entered. But sometimes it can be a good idea to think outside the square as to where your data will come from. We all have a stack of business cards that lie around our office or home collecting dust. We collect them from seminars, expos, business networking opportunities, and so on. There is a tremendous amount of information, potential leads, customers and resources waiting to be put to good use!

      Tony Grlj, owner of the Brisbane office of Wealthyfrog, a leading wealth coaching company, has these tips on how do to this. “Budgets are the foundation for creating wealth,” he says. “If your foundation isn't right, everything else could topple over, so it’s important that your budget is realistic and flexible. Everyone talks about doing a budget but our feedback shows that most people don't, mainly because they don't understand the benefit of doing a budget; they think a budget is about not spending money. We say it's about being deliberate and strategic with your money. When it is approached this way, the benefits clearly outweigh any lack of interest most people may have in constructing a budget.”

A $20 a week saving does not sound like much, however when you save it every week off your mortgage, business loan or as a contribution to an investment or bad debts, the compounding effect can be staggering. “We find this alone can motivate the unmotivated for years!”
     

(4) Select the directory you want used as the startup directory for your documents.

(5)
Click on the OK button.

(6) Click on the Close button.

(7) Exit and restart Word.


Instant Way to Speed Up Your Typing


Do you find that there are certain things you type over and over in your Word doc's & you would like a way to speed this up? Word has a feature called Auto Correct that will allow you to do just that.

Perhaps you often have to type in your company's name or often use technical terms/jargon? Try this tip:


 
   
 

However your data is stored (scraps of paper, enquiry sheets, newsletter sign-up sheets, order forms, etc) you can give your Virtual Assistant that pile of paper work and they can turn it into a database that works for you.

How Much Data Is Too Much Data?

I find that it is usually best to put a little more information in than you think you will need. While you have your Virtual Assistant entering the data, it would be prudent to add a couple of seconds to each entry with those few extra snippets of information, rather than dredge out the files all over again and go through the whole database once more. For example, if you are creating a customer database that will be used mainly for mail merges, it would be a good idea to add some extra fields such as ‘Marketing Campaign’ (data on what marketing strategy lead them to you, i.e. Yellow Pages, Google, print media, radio, etc), or ‘Date of Birth’ (allowing you to form a demographic of your clients at a later stage, or to contact them on their birthday). The old saying holds true “an ounce of prevention is better than a pound of cure”.

Tending The Database Garden

It is an absolute joy to stand back and look at a garden after a wonderful landscaping job has been completed. But, how long will it stay a joy if nobody tends it? Think of your database as this beautiful garden. You have spent good money having a database designed, created and filled with information, but if it is not kept current, new clients not added and data fields added/changed to reflect your changing business needs, it tends to lose its gloss and usefulness. Why not put a plan in place that ensures regular maintenance of your database - your Virtual Assistant can perform updates and maintenance at planned, regular intervals. This will keep you in control and on top of your business.

(1) On the Word menu bar, select ' Tools' and then choose the 'AutoCorrect' option.

(2) Word now displays the Autocorrect dialog box. choose the 'AutoCorrect' tab.

(3) View the list in the white box at the bottom. This is a list of all the words & phrases that Word will automatically correct for you.

(4) You can be sneaky & use this to make shortcuts for Word to type out long words & phrases for you. To do this you need to add to this list.

(5) In the box that says 'Replace:', type "ys" (without the quotes) and in the box that says 'With:', type "Yours Sincerely" (again without the quotes).

(6) Click on the 'Add' button & it is added to the list! Ensure that there is a check in the box that says 'Replace text as you type' or this won't work. Then, click on 'OK'.

You can really go to town with this & enter all the words that your regularly mistype or need to type.
